Build Your Own Superbuy Spreadsheet from Scratch

Published: May 2026 | Reading time: 10 minutes

There is something deeply satisfying about building your own system from scratch. When you create your own superbuy spreadsheet, every column, every formula, and every color choice serves exactly your workflow. No bloat, no confusion, and complete control.

This tutorial walks you through building a fully functional tracking spreadsheet from a blank page. You will learn which columns matter, how to add smart formulas, and how to make the whole system maintainable for the long term. Total build time: under 30 minutes.

Why Build Your Own Instead of Using a Template?

Templates are great starting points, but they carry assumptions. They assume you track certain fields, use certain categories, and organize data in a certain way. When your workflow differs from those assumptions, you end up fighting the template instead of using it.

Building your own sheet means you understand every cell. When something breaks, you know why. When you need to add a new feature, you know how. And most importantly, you end up with a system that matches your brain, not someone else's.

The Build Process: 7 Steps

StepTimeWhat You Do
Define your columns5 minOrder ID, Product, Seller, Price, Shipping, Status, Tracking, Notes
Add header formatting3 minBold headers, freeze top row, set column widths
Create data validation5 minDropdown lists for Status (Ordered, Shipped, etc.)
Add your first formula3 minTotal Cost = Item Price + Shipping Cost
Apply conditional formatting5 minColor by status: green delivered, yellow transit, red delayed
Build a summary dashboard10 minTotal orders, total spent, pending count, average shipping
Test and iterate5 minAdd a real order, verify formulas, adjust as needed

Step 1: Define Your Core Columns

Open a blank Google Sheet and add these headers in row 1: Order ID, Product Name, Seller, Category, Item Price, Domestic Shipping, International Shipping, Total Cost, Status, Order Date, Ship Date, Tracking Number, Delivery Date, Notes.

Bold the headers. Freeze the first row by clicking View > Freeze > 1 row. This keeps your headers visible while scrolling through hundreds of orders.

Step 2: Add Smart Formulas

  • Total Cost =F2+G2 (Item Price + Domestic Shipping + International Shipping adjusted)
  • Days in Transit =IF(J2="","",TODAY()-J2)
  • Is Delayed? =IF(AND(J2<>"",M2="",TODAY()-J2>45),"Yes","No")

Step 3: Build the Dashboard

Create a second tab called "Dashboard". In this tab, use these summary formulas:

  • Total Orders =COUNTA('Sheet1'!A2:A)
  • Total Spent =SUM('Sheet1'!H2:H)
  • Pending Orders =COUNTIF('Sheet1'!I2:I,"Ordered")+COUNTIF('Sheet1'!I2:I,"Shipped")
  • Average Order Value =AVERAGE('Sheet1'!H2:H)
