Superbuy Spreadsheet for Resellers: Bulk Order Management

Published: May 2026 | Reading time: 10 minutes

Reselling is a numbers game. When you handle ten orders, a simple note works. When you handle a hundred, you need a system. When you handle a thousand, the system becomes your business backbone.

This guide is for resellers who use buying agents to source products. We cover the exact spreadsheet structure, formulas, and workflows that scale from side hustle to full-time operation. A well-built superbuy spreadsheet for resellers is not just a tracker. It is a profit dashboard, inventory system, and decision engine.

The Reseller Spreadsheet Structure

Resellers need more than the standard ten fields. Your sheet should have three main tabs: Orders, Inventory, and Profit. The Orders tab tracks what you bought. The Inventory tab tracks what you have in stock. The Profit tab connects both and calculates margins.

Orders tab: Order ID, Product Name, Supplier, Category, Buy Price, Domestic Shipping, International Shipping, Total Cost, Status, Order Date, Ship Date, Tracking, Arrival Date, Batch Number.

Inventory tab: Product Name, SKU, Quantity In, Quantity Sold, Quantity Available, Storage Location, Restock Alert.

Profit tab: Product Name, Total Sold, Revenue, Total Cost, Profit, Profit Margin, ROI.

Essential Reseller Formulas

  • Profit = Revenue - Total Cost (simple but powerful)
  • Profit Margin = (Profit / Revenue) * 100 (shows which products are worth scaling)
  • ROI = (Profit / Total Cost) * 100 (shows return per dollar invested)
  • Restock Alert = IF(Available < 5, "RESTOCK", "OK") (prevents stockouts)
  • Batch Total = SUMIF(Batch:B, "Batch001", Cost:Cost) (tracks cost per bulk order)

Supplier Comparison Table

Resellers often buy the same product from multiple suppliers. A supplier comparison table helps you identify the best source. Create a separate tab with columns for Supplier, Product, Unit Price, Shipping per Unit, Minimum Order, Quality Rating, and Reliability Score.

Use conditional formatting to highlight the lowest price per unit. Use data validation to ensure your rating scale is consistent (1-5 stars). Over time, this table becomes your sourcing bible.

Scaling Your System

When you outgrow a single spreadsheet, use IMPORTRANGE to link separate sheets. One sheet per supplier. One master sheet that pulls them all together. This prevents any single sheet from becoming too large while keeping your overview intact.

For teams, share the sheet with role-based permissions. Give your packers edit access to the Inventory tab. Give your buyers edit access to the Orders tab. Keep the Profit tab view-only for everyone except the owner.
